This privacy policy describes how Kolesky Medical Education Pty Ltd (ABN 14 696 974 562) ("KME", "we", "us", "our") collects, uses, holds and discloses personal information.

KME is bound by the Privacy Act 1988 (Cth) and the Australian Privacy Principles (APPs) set out in Schedule 1 of that Act. This policy explains how we comply with those obligations.

2. What information we collect

The personal information we collect depends on how you interact with us. We may collect:

  • Name, email address, phone number

  • Practice or business details, AHPRA registration number, college membership

  • Payment information processed by our payment processor (we do not store card details)

  • Course progress and completion data (when you enrol in a course)

  • Information you provide in enquiries, support requests or correspondence

  • Technical information automatically collected when you visit our website (IP address, device, browser, pages visited, referral source)

We do not collect or hold patient-identifiable clinical data through this website. Patient assessments completed through KME's clinical instruments are processed in a separate, dedicated environment and are subject to the privacy obligations of the treating practitioner.

3. How we collect information

We collect personal information directly from you when you:

  • Enquire about a course, instrument or licence

  • Subscribe to our mailing list

  • Enrol in a course

  • Complete a contact form on this website

  • Communicate with us by email or phone

We also collect technical information automatically when you visit our website, through cookies and similar technologies. See section 7 below.

4. How we use your information

We use personal information to:

  • Deliver the courses, instruments or licences you have enrolled in or enquired about

  • Issue invoices, process payments and provide receipts

  • Communicate with you about your enrolment, course updates, certificates of completion or accreditation status

  • Send you information about new courses or instruments – only if you have opted in to our mailing list

  • Respond to your enquiries

  • Maintain and improve the website and our services

  • Comply with our legal obligations

We will only email you about new courses and instruments. We do not send promotional emails about anything else, and we do not share or sell your information for marketing.

5. Disclosure to third parties

We disclose personal information to third parties only where necessary to deliver our services. These include:

  • Stripe – payment processing

  • Jotform – form and assessment processing

  • Thinkific – course delivery platform

  • Microsoft 365 – email and document management

  • The email service provider used to manage our subscriber list

  • Professional advisors (legal, accounting) where required

Each of these providers is bound by their own privacy obligations and, where applicable, contractual confidentiality requirements.

We do not disclose personal information overseas other than to the third-party providers listed above, some of which store or process data on servers located outside Australia. Where personal information is disclosed to an overseas recipient, we take reasonable steps to ensure the recipient handles it in accordance with the Australian Privacy Principles. These steps include selecting reputable providers with enforceable privacy and data-protection commitments, reviewing their data-processing terms, and assessing the privacy frameworks of the jurisdictions in which they operate.

6. How we store and protect your information

We store personal information using reputable cloud-based services with industry-standard encryption and access controls. We retain personal information only for as long as is reasonably necessary to deliver our services and meet our legal obligations, after which we delete or de-identify it.

While we take reasonable steps to protect personal information, no method of electronic transmission or storage is completely secure. We cannot guarantee absolute security.

7. Cookies and tracking

This website uses cookies and similar technologies to operate, to remember your preferences, and to understand how visitors use the site. The technologies in use include Squarespace built-in analytics cookies (anonymous site-usage data), Stripe cookies (payment processing and fraud prevention), Jotform cookies (form functionality), and cookies set by any third-party content you interact with on the site.

You can control cookies through your browser settings; disabling cookies may affect site functionality. Where required, you will see a cookie consent banner on first visit, and you can change your consent preferences at any time using the link in the website footer.

8. Access, correction and complaints

  • Request that we delete personal information we no longer need
